    The Special Events and Volunteer Coordinator will be responsible for planning and executing events for Damar Services and other related subsidiaries of the organization. Ensuring alignment with the organization’s brand, the Special Events & Volunteer Coordinator will work with key stakeholders manage both internal and external events. In addition, this position will be responsible for volunteer recruitment/retention, volunteer event planning and execution and on-boarding of new volunteers.

    Responsibilities

    • Plans, executes and manages logistics for all internal and external events, including staff meetings, celebrations, annual events and fundraisers.
    • Collaborates with internal and external resources to develop strategies and timelines for execution and promotion of events to increase awareness, participation and fundraising.
    • Working in conjunction with Marketing Communications Specialist, coordinates the development of event collateral including invitations, sponsorship materials, promotional materials, auction descriptions, brochures, signage, etc.
    • Manages all event planning functions pre-, during and post-event, including vendor relationships, liquor licenses, permits, ticket sales, seating, décor; prepares progress reports as necessary and post-event evaluations.
    • Manages the volunteer program for Damar, including recruiting, screening and training volunteers.
    • Serves as point of contact for individual and group volunteers, including managing the application and approval processes and maintaining appropriate documentation in compliance with licensure standards.
    • Plans, schedules and assigns work of volunteers, including organizing volunteer event activities.
    • Tracks volunteer hours and reports on value added to the organization monthly and annually.
    • Assists in creating the volunteer services budget development and expense controls.
    • Develops and implements volunteer training and recognition programs.
    • Seeks collaboration and buy-in from stakeholders.
    • Utilizes data collection in relation to driving and tracking outcomes for improving future events hosted by Damar.
    • Attends mandatory staff meetings, supervision, trainings and other meetings as assigned.
    • Adheres to all policies and procedures as defined in the Employee Handbook and Damar Operational Policies and Procedures Manual.
    • Takes pride and ownership in Damar’s facilities and assigned work areas.
    • Reports any suspected exploitation, abuse, or neglect of a child.
    • Performs other duties as assigned.

    Qualifications

    Education: Bachelor’s degree in Hospitality, Tourism and Event Management, Communications, Marketing, Public Relations or closely related field.

     

    Experience: Two to three years of professional event planning or project management experience. Experience with volunteer recruitment and management preferred.

     

    Equipment Familiarity: Proficiency with MS Office applications including: Word, Excel, Outlook and PowerPoint.

     

    Knowledge / Skills / Abilities:

    • Demonstrated ability to design, plan and execute both public and private special events.
    • Basic budget management and accounting skills.
    • Excellent organizational skills, with a high attention to detail and proven ability to manage multiple tasks simultaneously while meeting deadlines in a busy environment.
    • Reads, understands, and reviews documents for accuracy, relevant information and errors in grammar or structure.
    • Strong interpersonal and relationship management, positive attitude, sense of humor with a commitment to providing outstanding customer service.
    • Operates office equipment including audio/video equipment, computers and supporting word processing, spreadsheet, and database applications.
    • Communicates clearly and concisely, both verbally and in writing.
    • Team orientation and ability to collaborate across departments.
    • Ability to work a varied schedule, including nights, weekends and holidays.

    Physical: Primary functions require sufficient physical ability and mobility to work in varies event and office settings; to stand or sit for prolonged periods of time; to stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight (up to 50 lbs); to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; to travel to other locations using various modes of private and commercial transportation; and to verbally communicate to exchange information.

     

    Vision: See in the normal visual range with or without correction.

     

    Hearing: Hear in the normal audio range with or without correction.
